Reservation Policies

**Please note: Wilderness Village Resort is seasonal in nature; as such, some amenities, events, and activities may be unavailable during certain times of the year. Refunds are not given for closed amenities, weather, air quality, fire bans, illness, vehicle problems, advisories (including pandemics), animal-related issues and/or any evictions.

Please read before you book: All pools are now closed. The Adult Hot Tub remains open for the winter season.

Through our booking portal you can view & book available dates. We require a one-night deposit at the time of booking as well as some information like your name, address, phone number and email address. The remainder of the payment will be automatically applied two weeks before the start of your reservation. 

  • Maximum of one family unit per reservation, up to a maximum of 8 people. This means two parents or guardians and up to six dependents.
  • If you are tenting, you must choose only designated tenting sites when you arrive.
  • Only one sleeping unit is included in your reservation, additional tents are an additional cost and must be occupied by members of your immediate family.
  • We do not allow day visitors into the resort. Only guests with a confirmed reservation may enter. If your friends want to meet up, you’ll need to meet them outside the resort.
  • We do not assign sites. After the registration process, you will be given instructions on how to choose an appropriate & available site and then report it back to our office to complete your check in. We do not guarantee sites side by side or dual sites to share with another member of your party.

Guest Agreement & Terms

By completing a reservation and/or entering Wilderness Village Resort, the guest acknowledges and agrees to the following terms and conditions.

1. General Terms (All Guests)

1.1 Payment & Reservation Confirmation

  • A one-night deposit is required at the time of reservation.

  • Final payment is due no later than 14 days prior to arrival.

  • Wilderness Village Resort reserves the right to charge any outstanding balances to the payment method on the reservation file.

  • Failure to pay may result in refusal of entry, cancellation, or eviction without refund.

1.2 Identification

  • Valid government-issued photo identification is required at check-in.

  • The name on the reservation must match the ID presented.

  • The reservation holder must be present at check-in.

  • Wilderness Village Resort reserves the right to refuse entry where identification requirements are not met.

2. Rules, Conduct, Compliance & Enforcement

  • Guests are responsible for knowing, understanding, and complying with all Wilderness Village Campground Association (WVCA) Rules.

  • Resort Rules are provided at check-in, available on the Wilderness Village Resort website, in the office, and from the Resort Patrol Staff. 

  • Physical abuse, aggression, public intoxication, profanity, harassment, unreasonable demands, or inappropriate conduct toward guests, staff, management, or the Board will not be tolerated.

  • Violations may result in warnings, fines, eviction, suspension, or further action under the WVCA Rules and Regulations, WVCA Warning System and applicable Articles of Association.

  • No refunds will be issued for evictions resulting from rule violations.

3. Liability & Assumption of Risk

  • Wilderness Village Resort is private property.

  • All persons entering and using the property do so entirely at their own risk.

  • All recreational activities carry inherent risks.

  • Wilderness Village Resort, its members, staff, and contractors are not responsible for loss, theft, damage, or injury resulting from inherent risks or guest actions.

  • Guests agree to hold Wilderness Village Resort harmless to the fullest extent permitted by law.

4. Vehicles

  • One (1) vehicle is included per reservation unless otherwise stated.

  • Additional vehicles must be registered upon arrival and may be subject to additional vehicle fees.

  • Unregistered vehicles may be denied entry.

5. Pets

  • All pets must be declared and may be subject to additional nightly fees. Service animals are accepted as required by law - must be clearly identified.

  • Pets must be leashed at all times with a physical leash - electronic leashes are not permitted.

  • Pets are prohibited in all common buildings (including comfort stations), playgrounds, BMX tracks, and sports fields.

  • Guests are responsible for pet clean-up and any damage or additional cleaning.

  • Pets are not permitted in Glamping Tents — no exceptions (service animals excepted as required by law).

6. Smoking, Cleanliness & Incidental Charges

  • Smoking is prohibited in all cabins, glamping tents, and public/common buildings.

  • Guests are responsible for leaving RV sites and Wilderness Village accommodations clean.

  • Additional cleaning, damage, or incidental charges may be applied to the payment method on the reservation file.

7. Seasonal Operation & Amenity Availability

  • Wilderness Village Resort operates seasonally.

  • The Village Store 'Village Eats' is not operated by Wilderness Village Resort, but is operated by an independent leaseholder. Hours may vary throughout the season.

  • Some amenities, services, events, or activities may be unavailable at certain times throughout the season.

  • No refunds are issued for amenity closures, weather, air quality, fire bans, advisories (including pandemics), illness, vehicle issues, or animal-related incidents.

8. Occupancy Limits & Use of Accommodations

  • Occupancy limits are strictly enforced for all accommodation types.

  • Exceeding maximum occupancy may result in additional fees or eviction without refund.

  • Occupancy limits vary by accommodation type and are outlined in the applicable Reservation Policies.

9. Acknowledgement

By completing a reservation, the guest confirms that they have read, understood, and agree to this Guest Agreement & Terms.

Reservation & Cancellation Policies

Please note that Cabin & Glamping Tent policies differ from RV Campsite policies. Review the applicable section carefully. The following policies apply to all bookings and form part of your reservation confirmation. Please review the section that applies to your booking.

1. Cabin & Glamping Tent Policies

1.1 Minimum Stay

  • A minimum two-night stay is required for all cabin and glamping tent reservations.

1.2 Payment Policy

  • A one-night non-refundable deposit is due at the time of reservation.

  • Final payment is due 14 days prior to arrival.

  • Deposits are permanently attached to the reservation and cannot be transferred to new dates.

1.3 Cancellation Policy

  • Cancellations made more than 15 days prior to the scheduled arrival date will be refunded less the one-night non-refundable deposit and the non-refundable booking fee.

  • Cancellations made within 14 days of the scheduled arrival date may result in forfeiture of up to three nights, with any remaining balance refunded.

  • All cancellation timelines are calculated from the scheduled arrival date, not the date the cancellation request is received.

  • Administration fees may apply.

1.4 Reservation Modifications

  • Changes must be made at least 15 days prior to arrival.

  • A $25 administration fee applies to reservation changes.

  • No refunds are issued for early departures.

  • Extensions are subject to availability.

  • Occupancy limits are strictly enforced. Exceeding maximum occupancy may result in additional fees or eviction without refund.

1.5 Reservation Transfers

  • Reservations may be transferred to another guest’s name (e.g., family or friends).

  • Deposits cannot be transferred to new dates.

  • Administration fees apply.

2. RV Campsite Policies

2.1 Payment Policy

  • A one-night deposit is due at the time of reservation.

  • Final payment is due 14 days prior to arrival.

  • Deposits are permanently attached to the reservation and cannot be transferred to new dates.

2.2 Cancellation Policy

  • Cancellations made more than 15 days prior to the scheduled arrival date will be refunded less a $25 administration fee and the non-refundable $12 booking fee.

  • Cancellations made within 14 days of the scheduled arrival date may result in forfeiture of up to three nights.

  • All cancellation timelines are calculated from the scheduled arrival date, not the date the cancellation request is received.

  • Administration fees may apply.

2.3 Reservation Modifications

  • Changes must be made more than 15 days prior to arrival.

  • Administration fees may apply.

  • Nights cannot be reduced at check-in.

  • No refunds for early departures.

3. Refund Exclusions (All Reservations)

Wilderness Village Resort operates seasonally. Availability of amenities, events, and activities may vary throughout the season. Refunds are not issued for:

  • Weather or air quality

  • Fire bans

  • Closed amenities

  • Illness or vehicle issues

  • Government advisories (including pandemics)

  • Animal-related incidents

  • Evictions resulting from rule violations

4. Resort Rules & Conduct

  • Resort Rules are available on our website and are provided at check-in.

  • Guests are responsible for knowing and complying with all rules.

  • Violations may result inwarnings, fines, evictions, or further action.

  • No refunds are issued for evictions.

5. General Reservation Terms

  • A deposit is required at the time of reservation.

  • Final payment is due 14 days prior to the scheduled arrival date.

  • Cancellation timelines are calculated from the scheduled arrival date, not the date the cancellation request is received.  

  • Valid government-issued photo identification is required at check-in and must match the name on the reservation.

  • The reservation holder(s) must be present at check-in.

  • Wilderness Village Resort reserves the right to refuse service or entry for non-payment, misrepresentation, or rule violations.

  • As part of your reservation, you will receive a Terms & Conditions agreement via DocuSign. Completion of this agreement is mandatory prior to arrival. Failure to complete the DocuSign acknowledgement may result in delayed check-in or refusal of entry.

  • By completing a reservation, guests acknowledge and agree to these Reservation & Cancellation Policies.

  • Resort Rules are provided at check-in, available on the Wilderness Village Resort website, in the office, and from the Resort Patrol Staff.

  • Wilderness Village Resort reserves the right to refuse service or entry for non-payment, misrepresentation, or rule violations.
